The Program Coordinator will join a team of professionals working in a fast paced, team environment. The Program Coordinator facilitates and manages various processes (client specific) within the contingent worker lifecycle from on boarding through off boarding. The Program Coordinator also provides first level customer support to Hiring Managers and suppliers.

Responsibilities:
 

• Assist Hiring managers, Staffing Specialists and suppliers during all stages of the contract labor acquisition process including but not limited to interview scheduling, onboarding, worker assignment management, time and expense management and off boarding.
• Document all client reported issues and track resolution through to completion ensuring a high level of customer satisfaction. 
• Maintain and update worker assignments to reflect appropriate changes.
• Provide constant communication to clients, suppliers, contingent workers and other partners via face-to-face meetings, email and phone.
• Conduct research and analysis to resolve client’s or supplier inquiries as needed.
• Provide program status reports to leadership as required.
• Monitor performance against contract SLA’s (i.e. pending end of assignments, invoicing, time and expense management and vendor compliance tracking).
• Constant interaction with vendors to ensure new hire paperwork is completed in a timely manner so the contractor can start assignment on time.
• Ensuring data integrity on proprietary data management platforms on a routine basis.

End to End Hiring Process:

• Assist with various recruitment activities, including screening resumes, scheduling interviews, and coordinating with candidates.
• Support the development and refinement of recruitment-related templates to enhance efficiency. • Assist in ensuring a complete set of new hire documentation is gathered and submitted for HRS data and payroll processing.

Onboarding & Integration:

• Assist in employees onboarding program coordination with new hires and presenters from each department.

HR Administration & Compliance: 

• Assist in the processing and administration of LHDN (Lembaga Hasil Dalam Negeri / Inland Revenue Board of Malaysia) stamping for relevant documents, ensuring compliance with regulatory requirements. 
• Provide administrative support for various associate needs and inquiries.

Employee Engagement & Events: 

• Participate in the organization and coordination of company events, employee engagement activities, and career fait event.

Key Responsibilities

• Support cost analysis, simulations, and forecasting for various Human Resource cost centers to support the development of the Business Plan. 
• Assist in cross-charging activities and other related financial processes.
• Provide support on overall Country Human Resource topics, including Learning & Development and Resourcing initiatives.
• Support Human Resource digitalization projects, including data migration and process documentation.
• Identify and propose opportunities for process improvements and automation.
• Create engaging media content for recruitment, Human Resource events, and employer branding initiatives.
• Develop written materials, source compelling visual assets, and ensure alignment with Country Human Resource's overall communication strategy.

Project Involvement

• Support Human Resource policy research and development.
• Participate in Human Resource process improvement initiatives.
• Contribute to digitalization and automation of Human Resource processes.

Responsibilities include, but are not limited to:

• Work with the Rider Management team to develop recruiting strategies and create innovative ways to source candidates. This includes working with local universities/colleges and community job boards to post the roles.
• Use the existing Applicant Tracking System to manage the full cycle rider recruitment, including but not limited to:
  • Validating applicants’ documents
  • Contacting and managing prospective candidates.
  • Scheduling test rides for riders.
  • Screening drivers for capability and experience.
• Scheduling onboarding sessions and ensuring sessions are all filled. You will need to follow up and re-book candidates as needed.
• Assisting with administrative functions for local leads, such as ensuring that new hire processes and documentations are completed.
• Supporting the new hires with their questions during the first few weeks (eg. first week questions regarding payroll, etc...)

• Responsible for full spectrum of HR and Admin functions within Nautec Malaysia: Staffing, performance management, talent management training and development, compensation and benefits, employee relations, policy design and implementation, employee communication, etc.;
• Support and partner the management in all critical personnel matters.  Provide insight, coaching and advice to management team in all aspects of HR issues;
• Support Management Team in implementing the personnel administration and improving administrative efficiency;
• Identification of training and development gaps and deploying processes and programme to close the gap;
• Strategic staffing planning and implementation.  This include projecting workforce needs in-line with business strategy and managing the talent pipeline to ensure all key positions have succession plan in place
• Manage the compensation and benefits (C&B) plan and structure and ensuring a smooth C&B process to satisfy the needs of business and individuals;
• Support managers in employee relations’ issues, policies and procedures, grievance and disciplinary hearings;
• Ensure policies, process and initiatives on employee safety, well-being and welfare are developed and implemented consistently;
• Manage industrial relations issues as needed;
• Ensure that HR & Admin policies and practices are always in-line with the legal and internal control requirements;
• In close cooperation with Regional HR, ensure timely deployment and execution of Group HR decisions, policies and procedures
• Undertake project work as necessary to improve HR services; and
• Undertake other ad hoc duties as reasonably requested.
