Job Descriptions: Key Responsibilities
Project Coordination
• Support Lead/Senior Project Managers in planning, scheduling, and tracking project milestones and deliverables.
• Coordinate daily and weekly tasks across internal teams to ensure workflow continuity.
• Monitor project progress, identify deviations, and assist in resolving issues to keep timelines on track.
Communication & Stakeholder Management
• Act as a primary point of contact for project updates and ensure information flows smoothly between departments.
• Facilitate communication between project stakeholders, contributing to alignment on goals, priorities, and expectations.
• Ensure stakeholder feedback is captured, communicated, and incorporated into project action plans.
Meetings & Documentations
• Organize, attend, and document internal project meetings, including preparing agendas and recording detailed minutes.
• Follow up on action items and decisions to ensure timely completion.
• Create, manage, and maintain comprehensive project documentation, reports, schedules, flowcharts, and progress trackers.
Risk & Issue Management
• Support the identification and assessment of project risks, opportunities, and blockers.
• Assist in maintaining risk logs and proposing mitigation strategies where applicable.
• Escalate critical issues to Lead/Senior Project Managers with clear context and recommendations.
Cross-Cultural & Language Support
• Liaise with Lead/Senior Project Managers or the Translation Team to translate documents (Japanese ⇄ English) when required.
• Provide context and terminology guidance to interpreters during internal or external meetings.
Tools & Systems
• Manage and update tasks, documentation, and workflows using JIRA, Confluence, and other project management tools.
• Prepare status dashboards, reports, and presentations using Microsoft Word, Excel, and PowerPoint.
Job Application Requirements
Compulsory Requirement
• 4-6 years' experience in project coordinating or project management in any industry.
• Strong cross-functional English communication skills, both verbal and written.
• Good presentation skills, public speaking skills.
• Strong analytical, organizational, and time management abilities.
• Ability to work effectively both independently and as part of a team.
• Competent in Microsoft Office (Word, Excel, and Outlook) and project management tools such as JIRA and Confluence.
• Ability to multitask, manage shifting priorities, and meet tight deadlines.
• Ability to prepare, document and interpret flowcharts, schedules, meeting minutes and step-by-step action plans.
Bonus point!
• Knowledge or familiarity with the gaming industry or CG industry is an advantage.
• JLPT N2 proficiency (or equivalent) is definitely a plus because we have Japanese members in the team.
• Experience in translation/interpretation is an extra plus!
• Experience working in a cross-cultural or multinational environment is beneficial.
