Role Overview

One of our clients is looking for a versatile and highly organized Virtual Assistant to manage our back-end operations and digital platforms. You will be the "engine room" of the business—ensuring our logistics, financial records, and social media channels are updated and accurate every day.


Key Responsibilities

E-Commerce & Platform Admin

  • Store Management: Upload and maintain product listings on Shopify and TikTok Shop (pricing, SKUs, categories, and shipping rates).
  • Order Fulfillment: Monitor and process local and international orders to ensure they are sent out on time.
  • Social Media Operations: Operate and post content across TikTok, Instagram, and Facebook.
  • Digital Maintenance: Manage shared drives, company emails, passwords, and system access.

Financial & Document Admin

  • Bookkeeping: Record, file, and reconcile all business expenses and transactions.
  • Reconciliation: Match monthly bank statements against Shopify and TikTok sales data.
  • Documentation: Prepare and organize invoices, receipts, contracts, NDAs, and basic employment documents.

Logistics & Inventory Coordination

  • Liaison: Communicate with logistics partners, factories, and service providers.
  • Inventory Audit: Ensure warehouse records (Airpak) align with our system records and verify that charges are accurate.

Content & Media Support

  • Video Edits: Perform basic video editing for social media clips (TikTok/Reels).
  • Basic Design: Use Canva or Adobe Illustrator to update simple design variations, receipts, posters, or PDF documents.


Must-Have Requirements

  • Software: Preferably knowledgeable in Canva and Adobe Illustrator (a good plus)
  • Social Media: Proficient in operating TikTok, Instagram, and Facebook for business.
  • Editing: Ability to do clean, simple video edits for social platforms.
  • Organization: Must be extremely detail-oriented with data entry and financial reconciliation.
  • Communication: Strong English communication skills for coordinating with external partners.
