Multistakeholder Forestry Programme 5 (MFP5)

This is an exciting opportunity to contribute to a long-term international development programme focused on sustainable natural resource management and inclusive policy reform. This programme is part of a long-standing partnership between governments and aims to support sustainable land and resource management through inclusive, multi-stakeholder collaboration. It focuses on strengthening governance systems, improving transparency and traceability in supply chains, and enhancing the capacity of local institutions and communities. Working in close collaboration with government institutions and other stakeholders, the initiative aims to deliver positive outcomes for climate resilience, biodiversity, and local livelihoods.

This Opportunity

The MFP5 team is seeking an Operations Associate to support the effective and efficient management of financial, procurement, logistics, travel, and administrative functions. This role is critical to ensuring smooth day-to-day operations and compliance with client requirements, country regulations and Palladium policies. Speaking competence in both English and Bahasa Indonesia is required.

Location:

The position is based in Jakarta, Indonesia, at the MFP Office in the Gedung Manggala Wanabakti Block. All applicants must have working rights in Indonesia, as sponsorship will not be provided, nor will any relocation expenses.

Reporting Lines

The Operations Associate will report to the Finance and Grants Manager.

Primary Responsibilities

Operational Management

  • Develop and implement operational systems, tools, and procedures to support effective project delivery, including but not limited to office supplies, equipment, and facilities.
  • Oversee logistics, office management, and administrative support including but not limited to coordination with vendors and service providers (e.g., IT, maintenance).
  • Ensure compliance with client terms and conditions, country regulations, and company policies across all operational areas.

Financial Management

  • Collaborate with the Finance and Grants Manager on financial forecasting, budgeting, and reporting for office operations.
  • Review financial transactions, including invoices, expense claims, and payment approval form prior to payment processing.
  • Prepare payment vouchers for vendor invoices, travel expense reports and program-activity related payments ensuring accuracy and completeness of documentation.

Procurement Management

  • Lead the procurement of small goods and services, in accordance with client and company procurement policies. Ensure procurement processes are transparent, competitive, and documented.
  • Manage vendor relationships, contracts, and performance.

Team Support & Coordination

  • Provide operational support and guidance to project staff and partners.
  • Coordinate with Co-directors and senior staff to ensure integrated delivery across technical and operational areas.
  • Train project staff on operational policies and procedures.
  • Arrange domestic and international travel, including authorizations, reservations, and expense report support.

Other Tasks

  • Assist with event planning and coordination
  • Support special projects and initiatives as assigned.
  • Provide administrative support to the co-directors for travel and expenses.
  • Perform other duties as required

Essential Criteria

  • University degree or equivalent experience.
  • Experience in operations management for donor-funded projects, including office administration, and procurement.
  • Full professional fluency in English; working proficiency in Bahasa Indonesia (spoken and reading). Strong understanding of compliance requirements and operational risk management.
  • Proven ability to manage complex operational systems and lead cross-functional teams.
  • Excellent organisational, planning, and problem-solving skills.
  • Ability to work independently and take initiative.
  • Strong interpersonal and communication skills, with the ability to work effectively with diverse teams and stakeholders.
  • Proficiency in Microsoft Office and operational management

Desired Criteria

  • Experience working on a donor-funded programme (e.g., DFID/FCDO, USAID, EU).
  • Knowledge of procurement procedures and best practices.
  • Familiarity with accounting and financial management processes
