- Support the Project Manager in gathering equipment, resources and information to implement upcoming projects
- Act as the point of contact and communicate project status to all participants
- Help to prepare budgets
- Maintain budgets by monitoring expenses and implementing cost-saving measures
- Maintain work schedules
- Create a project management calendar for fulfilling each goal and objective
- Monitor the daily progress of projects
- Determine project changes
- Provide detailed updates to project managers or other stakeholders
- Ensure stakeholder views are managed towards the best solution
- Develop project strategies
- Organise and participate in shareholder meetings
- Prepare necessary presentation materials for meetings
- Participate in project design meetings and propose improvements if necessary
- Communicate with clients to identify and define project requirements, scope and objectives
- Ensure the clients’ needs are met as the project evolves
- When any important decisions or action items are made during the meeting, the Project Coordinator need to follow up on these with the necessary parties who are assigned these responsibilities
- Coordinate all team members to keep workflow on track
- Ensure all deadlines for certain projects are met
- Assess project risks and issues and provide solutions where applicable
- Providing administrative support as needed
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
- Perform billing and bookkeeping tasks
- Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
- Issue all appropriate legal paperwork (e.g. contracts and terms of agreement)
- Oversee project procurement management
- Ensure resources and equipment are always available
- Ensure standards and requirements are met through conducting quality assurance test
