Key Responsibilities
JOB DESCRIPTION
- Management System Implementation & Maintenance:
- Act as the primary custodian of the Integrated Management System (IMS), ensuring alignment with ISO 9001, ISO 14001, and ISO 45001 requirements.
- Lead the planning, implementation, and maintenance of QMS procedures to ensure effective process control within the factory.
- Monitor changes in ISO standards and regulatory requirements and update company policies and procedures accordingly.
- Documentation Control:
- Oversee the factory’s Document Control Centre to ensure all documentation (SOPs, Work Instructions, Forms, Policies) is current, approved, and accessible.
- Coordinate the creation, review, and revision of technical and administrative documentation across all cross-functional departments (Production, HR, Maintenance, Warehouse, etc.).
- Ensure strict version control and distribution records for all quality and EHS documents.
- Internal & External Auditing:
- Plan and coordinate the Internal Audit schedule for Quality, Environmental, and Safety management systems.
- Train and lead a team of internal auditors to conduct systematic audits of various departments.
- Serve as the main point of contact during external certification audits (e.g., SGS, TÜV, BSI) and customer second-party audits.
- Manage the Non-Conformance Report (NCR) process, ensuring root cause analysis is performed and corrective actions are implemented and verified.
- Cross-Functional Coordination & Training:
- Conduct regular review meetings with department heads (Production, Engineering, HR, Supply Chain) to ensure QMS/EHS requirements are integrated into daily operations.
- Develop and deliver training programs to staff on ISO standards, quality procedures, and safety protocols to foster a culture of compliance.
- Facilitate the Management Review meetings to present system performance data and identify improvement opportunities.
- Continuous Improvement:
- Drive the Continuous Improvement (CI) initiatives by utilizing data analysis, KPI monitoring, and feedback loops.
- Analyse quality and EHS performance metrics (e.g., defect rates, waste reduction, incident rates) to identify trends and areas for improvement.
- Promote the use of problem-solving tools such as 8D, 5 Why, and Fishbone diagrams to resolve systemic issues.
- Risk Management:
- Coordinate Risk Assessment processes (Aspects & Impacts for Environment, Hazards & Risks for Safety, Risks & Opportunities for Quality) across the factory.
- Ensure that mitigation plans are in place and monitored effectively.
Qualifications & Requirements
- Education: Diploma/Bachelor’s degree in Engineering (Mechanical & Electrical), Environmental Science, Occupational Health & Safety, or a related field.
- Certification: Lead Auditor certification or training for ISO 9001 is required. Certification/training for ISO 14001 and ISO 45001 is highly preferred.
- Experience:
- Minimum [3-5] years of experience in a Quality, EHS, or QMS role within a manufacturing or factory environment.
- Proven experience in managing ISO certification audits and surveillance audits.
- Experience in leading cross-functional teams and projects.
Skills & Competencies
- Technical Knowledge: Deep understanding of ISO 9001, ISO 14001, and ISO 45001 clauses and documentation requirements.
- Analytical Skills: Strong ability to analyse data, identify root causes, and develop strategic corrective actions.
- Communication: Excellent verbal and written communication skills; ability to explain complex compliance requirements to non-technical staff.
- Leadership: Strong interpersonal skills with the ability to influence and drive change across different departments without direct authority.
- Organizational Skills: Exceptional attention to detail and ability to manage multiple projects and deadlines simultaneously.
- Software Proficiency: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with Oracle MES/WMS/EBS systems or Quality Management Software (e.g., MasterControl, EtQ).
Working Conditions
- This role is based primarily in an office environment within a manufacturing plant.
- Regularly required to walk the factory floor to inspect processes, conduct audits, and engage with shop-floor personnel.
- Must adhere to all factory safety protocols, including the wearing of PPE (Personal Protective Equipment) when entering production areas.
