Our client is a growing property management company specializing in residential and short-term rental properties. The business is committed to delivering exceptional service to property owners and guests while continuously expanding its portfolio and operations. As a key partner to the owner, you'll play a central role in supporting day-to-day operations, improving processes, and contributing directly to the growth of a dynamic and service-driven business.
This role combines executive support, guest and owner communication, vendor coordination, marketing assistance, and process improvement. Key Responsibilities
- Manage guest inquiries and communications through Guesty and booking platforms such as Airbnb, VRBO, and Furnished Finder
- Answer and triage incoming calls from guests, owners, vendors, and prospective clients
- Process guest reviews and maintain professional communication with all stakeholders
- Coordinate with cleaning and maintenance vendors regarding schedules, updates, and service requests
- Assist with documenting and refining Standard Operating Procedures (SOPs)
- Support daily business operations and help improve internal processes
- Create marketing materials, social media content, and email campaigns using Canva and franchise-provided resources
- Assist with lead generation and prospective client outreach
- Develop digital and print marketing collateral for owners and guests
- Maintain organized files, records, and business documentation
- Manage administrative projects and provide ongoing support to the owner
- Identify opportunities to improve efficiency and streamline workflows
Must-Have Requirements
- 5+ years of experience in an Executive Assistant, Administrative, Operations, Property Management, or similar role
- Strong written and verbal English communication skills
- College education preferred
- Excellent organizational and time-management abilities
- Strong customer service and relationship-building skills
- Experience working with multiple software platforms and digital tools
- Ability to work independently and manage competing priorities
- Proactive, resourceful, and solution-oriented mindset
- Strong attention to detail and follow-through
- Reliable internet connection and a professional remote work environment
Nice-to-Have Requirements
- Bilingual English and Spanish
- Experience in property management, vacation rentals, hospitality, or real estate
- Familiarity with Guesty, Airbnb, VRBO, or similar property management platforms
- Experience with Canva, email marketing, and social media management
- Experience creating SOPs and documenting business processes
- Previous experience supporting entrepreneurs, executives, or small business owners
- Interest in growing long-term with a scaling property management company
