Position Overview
We are seeking Receptionist will be responsible for front desk responsibilities, office administration, and marketing support to ensure smooth daily operations and contribute to the company's brand visibility and growth.
Key Responsibilities
Receptionist Duties:
- Serving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering, screening and forwarding incoming phone calls
- Receiving and sorting daily mail/deliveries/couriers
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Any other related duties as may be assigned from time to time by the top management
Office Administration
- Manage office supplies and place orders when necessary.
- Coordinate office maintenance and liaise with vendors.
- Handle scheduling, travel arrangements, and meeting room bookings.
- Perform other clerical receptionist duties such as filing and photocopying.
- Maintain filing systems and company records (physical and digital).
- Support HR with onboarding and administrative tasks (if applicable).
- Monitoring attendance and productivity of staffs – including reporting
- Manage HRDC Administration related matter
Marketing Support
- Assist in the planning and execution of marketing campaigns with the sales teams
- Manage social media accounts and company website updates (where possible)
- Create and distribute marketing materials such as brochures, email newsletters, and promotional items.
- Support events, exhibitions, and customer engagement initiatives.
- Conduct basic market research and competitor analysis.
Required Skills And Qualifications
- 2-3 years of relevant experience in an office environment
- Proven experience in a receptionist, administrative, or marketing role preferred.
- Excellent communication and interpersonal skills.
- Well-organized with strong time management skills.
- Ability to multitask and work independently with minimal supervision.
