Role Description

The Marketing & Events Coordinator will play a key role in organizing and promoting IMA's events, including seminars, workshops, conferences, and networking initiatives. This involves event planning, coordination, and management, as well as implementing marketing strategies to enhance the association’s visibility and engagement. The individual will also engage with stakeholders, manage communication channels, and ensure the delivery of high-quality and impactful events.


Qualifications

  • Strong expertise in Event Planning and Event Management, including organizing, coordinating, and executing events successfully.
  • Skills in Event Marketing and Communication, with the ability to create and execute promotional strategies to drive engagement.
  • Proficiency in Customer Service, ensuring excellent stakeholder engagement and satisfaction.
  • Outstanding organizational and time-management skills with an ability to handle multiple priorities effectively.
  • Excellent verbal and written communication abilities in English (other languages is plus)
  • Experience in working with international organizations or diverse cultural teams is advantageous.
  • Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
  • Proficiency in CRM tools, event management software, and digital marketing platforms is a plus.


What you'll actually do:

  • Design and execute a multi-channel campaign (email, LinkedIn, partnerships) to drive registrations and sponsorships
  • Prospect sponsors, present packages, negotiate terms, and close commitments
  • Build and manage the registration platform; optimize the funnel; track conversions
  • Manage speaker confirmations, attendee logistics, visa support
  • Deliver a weekly KPI dashboard (registrations, sponsor pipeline, email metrics)


Why this matters: An international conference requires hard deadlines and independent execution. You'll work directly with operations team. You'll own the outcomes.


What we're looking for:

  • 3+ years driving registrations or closing sponsorships in B2B events or SaaS
  • Comfort with ambiguity and fast iteration — no script
  • Ability to execute independently with minimal hand-holding
  • Track record of campaigns with quantified results (not "helped with" — "owned and delivered")


How we'll screen you:

  1. Your CV + 1-page case study of a campaign you owned (metrics, outcome, your specific role)
  2. A paid test project: Draft a 4-week sponsor prospecting plan and explain your logic. (€50–100, 3–4 hours)
  3. Structured interview: We'll walk through how you'd approach specific situations we're facing right now
  4. Reference call: We'll ask your past manager specific questions about your speed and independence


What we offer:

  • Contract-based (4–6 weeks initial, extension based on event registration momentum)
  • Remote, full-time or part-time flexible
  • Start date: ASAP (ideal 10 June)


Why contract, not permanent right now: We're scaling fast. Contract gives us speed and flexibility while protecting both of us. Good performance at the 30 July checkpoint = full-time offer.
