Position Title: Customer Service Coordinator

Work Set Up: On-Site

Schedule: 9:00 PM to 6:00 AM PHT

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark, Pampanga

Quick Rundown:

This role will directly assist in key areas such as (but not limited to); assisting the Program Management team with client service and general administration, responsible for managing the life cycle of program projects, customer service, warehouse relationships, and general administration tasks.

What You'll Do:

Client & Project Support

  • Support the Client Experience team with daily operations and project coordination.
  • Manage inventory-related communications with internal teams, vendors, and customers.
  • Serve as the main point of contact for vendors on program projects and reorders.
  • Oversee projects from start to finish, ensuring timely and successful completion.
  • Use company systems and processes to manage program projects and group-buy initiatives.
  • Coordinate with warehouse teams regarding stock availability and order status updates.
  • Ensure all projects and orders meet quality standards.
  • Collaborate with internal teams to resolve issues and deliver successful outcomes.


Customer Service

  • Manage multiple customer service inboxes and respond within required service levels.
  • Assist customers with delivery and order-related inquiries.
  • Work closely with internal teams to meet client expectations.
  • Process customer returns and coordinate with Finance regarding refunds and credits.


Administration & Logistics

  • Coordinate daily with warehouses, logistics providers, and freight partners to manage deliveries and shipments.
  • Place manual orders with warehouses and update inventory levels as needed.
  • Review and validate sales promotion entries and redemption activities.
  • Process vendor invoices and support monthly billing activities.
  • Prepare and maintain inventory reports.
  • Manage customer backorders and provide status updates.
  • Perform other administrative and project-related tasks as required.


What We're Looking For:

  • Minimum of 2–3 years of experience in customer service, project coordination, operations, logistics, inventory management, or a related role.
  • Experience managing client projects, vendor relationships, and order fulfillment processes is preferred.
  • Strong understanding of inventory tracking, warehouse coordination, and logistics operations.
  • Proven ability to manage multiple projects and priorities while meeting deadlines in a fast-paced environment.
  • Excellent written and verbal English communication skills with the ability to interact professionally with customers, vendors, and internal teams.
  • Experience handling customer inquiries, order status updates, delivery concerns, returns, and refunds.
  • Proficient in Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Comfortable using CRM, inventory management, order processing, and project management systems.
  • Strong attention to detail with the ability to maintain accurate records, reports, and documentation.
  • Experience preparing inventory reports, processing invoices, and managing backorders is an advantage.
  • Ability to analyze information, solve problems, and proactively identify solutions.
  • Strong organizational and time-management skills with the ability to work independently.
  • Collaborative team player who can effectively work with cross-functional teams, warehouses, logistics partners, and finance departments.
  • Customer-focused mindset with a commitment to delivering excellent service and ensuring successful project outcomes.
  • Experience supporting promotional campaigns, sales programs, or group-buy initiatives is a plus.
