Are you highly organized, detail-obsessed, and great at keeping projects on track? We're looking for a Virtual Assistant to join our branded merchandise team as a Project Coordinator. In this role, you'll be the engine that keeps projects running smoothly — from client onboarding all the way through order fulfillment.
What You'll Do
Client & Project Setup
- Create and maintain client profiles in Commonsku
- Set up new projects accurately and efficiently
- Organize project details, timelines, and deliverables
Presentations & Mockups
- Build client presentation decks in Commonsku
- Ensure all presentations, estimates, and sales orders are clean, accurate, and client-ready
Estimating & Order Management
- Prepare detailed estimates for client review
- Convert approved estimates into sales orders
- Verify pricing, quantities, and product specifications
Communication
- Liaise with clients and vendors via MS Outlook
- Coordinate with team members via MS Teams
- Gather pricing, timelines, and product details from vendors
- Follow up on outstanding items to keep projects moving
Organization & Coordination
- Track multiple projects simultaneously
- Maintain clear documentation and file organization
- Keep deadlines met and stakeholders updated
What You Bring
- Experience using MS Outlook for professional communication
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Ability to juggle multiple tasks and deadlines
- Strong written communication skills
- Comfortable working remotely and independently
Nice to Have
- Experience with Commonsku (highly preferred)
- Background in project coordination or administrative support
- Experience creating presentation decks and product mockups
- Familiarity with the branded merchandise / promotional products industry
