Job Title: Project Scheduling & Site Coordinator

Rate: Php 238.09 per hour

Work Type:

JOB OVERVIEW:


The Project Scheduling & Site Coordinator supports project teams by confirming site availability and ensuring schedules are accurate and reliable. This role serves as a key point of contact between internal teams and customer site stakeholders, conducting outreach through calls, emails, and follow-ups to secure scheduling commitments.


The coordinator tracks progress, updates project systems, escalates delays or non-responsiveness, and maintains detailed records and reports. Success in this role requires strong communication skills, persistence, attention to detail, and the ability to effectively manage multiple follow-ups to keep projects on track.


JOB ROLE & RESPONSIBILITIES:


Key Functions:

  • Scheduling Coordination: Support alignment of project schedules with site availability
  • Stakeholder Communication: Act as a liaison between internal teams and customer site contacts
  • Execution Support: Drive timely confirmation of schedules through persistent follow-up
  • Tracking & Escalation: Monitor responses and escalate risks impacting project timelines
  • Documentation & Reporting: Maintain accurate scheduling records and status updates


Areas of Responsibility

  • Work with project teams to understand scheduling requirements and project timelines
  • Engage customer contacts and site decision-makers to:
  • Confirm site availability
  • Secure schedule commitments
  • Conduct outreach via email, phone, and follow-up communications to ensure timely responses
  • Utilize contact lists to manage and track outreach activity and status
  • Update project management tools and systems with current scheduling information
  • Identify and escalate issues such as:

Lack of responsiveness

Scheduling conflicts

Risks to project timelines

  • Maintain detailed and organized project documentation, including:

Communication logs

Status updates

Site confirmation records

  • Support recurring reporting needs for project managers and stakeholders

JOB REQUIREMENTS:


Required Qualifications / Experience

  • 1–3 years of experience in a coordination, administrative, customer service, or project support role
  • Experience handling high volumes of communication (calls, emails, follow-ups)
  • Familiarity with basic project tracking tools or CRM systems preferred
