Job Brief

Remotee, through our sister company Recruit Sync, is seeking a highly organised and proactive Executive Assistant to support our recruitment, client delivery and business operations.

This role will assist with candidate coordination, client communication, shortlist preparation, diary management, follow-ups and key administrative tasks across multiple roles and projects.

The role is suited to someone who is detail-oriented, confident communicating with candidates and clients, and able to manage competing priorities in a fast-paced remote environment.

Mandatory Requirements

  • 5+ years' experience as an Executive Assistant.
  • 3+ years' experience supporting executives or senior leaders within an AUS/UK/US recruitment agency.
  • Experience using Australian recruitment ATS systems such as Bullhorn, JobAdder or similar.
  • Experience using planning and task management tools such as Asana, Trello, Microsoft Planner or similar.
  • Exposure to LinkedIn Premium, LinkedIn Pro or similar LinkedIn recruitment tools.
  • AI-native, with the ability to use AI tools to improve planning, administration, communication and workflow efficiency.
  • Strong written and verbal English communication skills.
  • Highly organised, detail-oriented and able to manage multiple priorities in a fast-paced remote environment.

Responsibilities

  • Provide executive support including diary, inbox, meetings, follow-ups and task tracking.
  • Coordinate recruitment activity including candidate communication, interviews, client meetings and shortlists.
  • Prepare candidate summaries, client updates, meeting notes and professional documentation.
  • Maintain accurate records across ATS, CRM and task management systems.
  • Track recruitment pipelines, client feedback, interview progress and outstanding actions.
  • Coordinate onboarding tasks, documentation, system access, reminders and handovers.
  • Support senior leaders with operations, reporting, projects and ad hoc priorities.
  • Ensure a high-quality experience for candidates, clients and internal teams.
