Role Purpose

This role owns three operational functions: managing the B2B pipeline from first contact through closed deal, managing B2B projects from signed contract through final delivery, and managing the DTC product development pipeline from design brief through launch. All three require building and maintaining systems that keep leads tracked, projects on schedule, and leadership focused on strategy rather than operational coordination. As HVI scales, this seat splits into two dedicated roles a B2B Project Manager and a Product Development Manager. The B2B Project Manager seat carries both the pipeline and project management functions. This person builds the foundation for both.


Part Time to begin with 10-20 hours a week with possibility of full-time.


Key Result Areas

1. CRM Setup & Lead Management (40% of role)

Evaluate, set up, and maintain the CRM used to track B2B leads and pipeline activity from first contact through closed deal.

• Evaluate CRM options and recommend the right tool for HVIs B2B sales motion

• Set up the CRM from scratch: pipeline stages, deal fields, contact records, activity tracking, and automations

• Track all leads from first contact through proposal sent, follow-up, and close

• Own ongoing CRM hygiene: leads entered accurately, deal stages current, activity logged

• Build and maintain a weekly pipeline report surfacing active leads, stalled deals, and follow-up priorities

• Build automations that reduce manual tracking and ensure no lead goes uncontacted beyond the agreed follow-up window

• Build and maintain SOPs for the CRM and lead management process


2. B2B Project Management (40% of role)

Own every B2B order from commitment through final delivery. Every milestone is tracked, every stakeholder is coordinated, and every project closes clean.

• Own and maintain the B2B project tracker across all active orders

• Track all project milestones: contract sent and signed, deposit invoice issued and paid, design call completed, design drafts and revisions tracked, final design approved, supplier order placed, production monitored, delivery confirmed, milestone invoices issued, final payment collected

• Coordinate between the Founder (client-facing), the CEO (contracts and invoicing), and suppliers to keep each project on schedule

• Flag delays and risks before they become problems

• Build and maintain SOPs for the full B2B project lifecycle


3. DTC Product Development Pipeline (20% of role)

Own the product development pipeline for HVIs weekly DTC drops. Supplier lead times run 10-12 weeks, which means the pipeline has to stay well ahead of the drop calendar at all times.

• Own and maintain the DTC product development tracker for all products in progress

• Track all milestones: design brief issued, drafts reviewed and approved, final files sent to supplier, order placed and confirmed, production timeline tracked, sample reviewed, inventory received and counted, product ready to launch

• Maintain a running 12-week forward view of the drop calendar so leadership can see what is in each stage at any point

• Flag when a product is at risk of missing its drop window with enough lead time to course-correct

• Coordinate with the Founder on design timing and supplier communication; coordinate with the CEO on inventory and launch scheduling

• Build and maintain SOPs for the DTC product development pipeline


Core Responsibilities

Daily / Weekly

• Keep the CRM current with lead activity, deal stage changes, and follow-up actions

• Update all active B2B project milestones and flag anything behind schedule

• Update the DTC product pipeline tracker and surface any drop calendar risks

• Deliver a weekly summary to the CEO covering pipeline status, active leads and follow-up priorities, active project milestones, and product drop calendar health

Monthly

• Review and audit all three functions: lead pipeline, active B2B projects, and DTC product pipeline

• Identify and close gaps in tracking, follow-up, and milestone management

• Review and improve processes based on what is and is not working

• Document new workflows and SOPs across all three functions

Quarterly

• Contribute to EOS quarterly review: surface operational issues, recommend system improvements

• Update SOPs to reflect current process

• Evaluate tool performance and recommend changes where needed


Required Skills & Experience

Must-Have

• Proven experience owning and managing a B2B sales pipeline or CRM system

• Project management experience with complex, multi-milestone workflows

• Experience building CRM automations and workflows

• Experience evaluating and implementing new tools independently

• Strong written English communication skills

• Ability to build systems and documentation from scratch without a playbook

Nice-to-Have

• Experience in e-commerce, apparel, or product-based businesses

• Familiarity with DTC product launches or supplier management

• Experience with CRM tools such as HubSpot, Pipedrive, or similar

• Background supporting a founder or sales lead in a high-volume environment
