We're hiring a Customer Service & Dispatch Coordinator to join a growing U.S.-based pool service company. This role combines customer support, service coordination, scheduling, technician dispatch, and accounts receivable follow-ups.
You'll work with existing customers, coordinate recurring service appointments, resolve service concerns, and help keep daily operations running smoothly. If you enjoy staying organized, communicating with customers, and supporting a fast-paced operations team, we'd love to hear from you.
What You’ll Do
- Handle inbound calls and messages from customers regarding scheduling, service updates, and general inquiries
- Handle service and repair calls from current clients, including troubleshooting issues, rescheduling jobs, dispatching technicians, and ensuring resolution
- Assist customers with service options and basic pricing inquiries (warm inquiries only, no cold calling)
- Follow up on outstanding balances (AR / collections outreach) in a professional and customer-friendly way
- Coordinate service schedules and technician assignments to ensure timely job completion
- Maintain customer and job records using CRM and service tools such as HubSpot, Jobber, Skimmer, Pool Brain, or similar platforms
- Update service tickets, payment status, and job progress accurately in the system
- Support daily operations by ensuring smooth coordination between customers and technicians
- Assist in improving internal workflows, call handling processes, and documentation
What We’re Looking For
- 3+ years of experience in customer support, account management, coordination, or service operations
- Must have experience in home services or direct-to-consumer service businesses (e.g. pool, HVAC, cleaning, roofing, landscaping, etc.)
- Experience handling service-related phone calls and customer follow-ups
- Experience in accounts receivable (AR) or collections outreach
- Strong organizational and multitasking skills
- Excellent English communication skills (spoken and written)
- Experience using CRM or service tools such as HubSpot, Jobber, Skimmer, Pool Brain, or similar systems
- Comfortable working with systems and learning new tools quickly
- Proactive, reliable, and able to work independently
- Experience working in a remote WFH setup, preferably with US clients
- Must be available to work graveyard shift aligned with US time zones
- Reliable internet connection and dedicated work-from-home setup required
Nice to have:
- Direct experience in pool service operations (strong plus)
- Experience with dispatching or coordinating field technicians
- Experience in service workflows like scheduling, work orders, or job tracking
- Team lead or SME experience in support or operations roles
