Assistant Manager - Facilities Management
Position Overview
The Assistant Manager for Facilities Management On Demand supports the delivery of comprehensive facilities management services to clients, ensuring operational excellence, client satisfaction, and efficient resource management. This role serves as a key liaison between clients, service providers, and internal teams while maintaining high standards of service delivery across assigned portfolios.
Key Responsibilities
Client Service Delivery
Support the management of day-to-day facilities operations including preventive and reactive maintenance, vendor management, and service delivery across client portfolios. Assist in ensuring all facility services meet or exceed client expectations and contractual service level agreements. Coordinate with clients to understand evolving needs and implement solutions that enhance operational efficiency.
Operational Management
Oversee work order management systems, ensuring timely response to service requests and proper documentation of all maintenance activities. Monitor key performance indicators and service metrics, identifying trends and opportunities for improvement.
Vendor and Contractor Coordination
Coordinate with external vendors and contractors to ensure quality service delivery and compliance with safety standards. Review vendor performance regularly and support the resolution of service-related issues. Assist in vendor selection processes and contract negotiations as needed.
Health, Safety, and Compliance
Support the implementation and monitoring of health and safety protocols across managed facilities. Conduct regular site inspections to identify potential hazards and ensure compliance with regulatory requirements. Maintain accurate documentation of safety procedures, incidents, and corrective actions.
Reporting and Communication
Prepare regular reports on facility performance, maintenance activities, and budget status for senior management and clients. Maintain clear communication channels with all stakeholders, promptly addressing concerns and providing updates on service delivery.
Qualifications
Education and Experience
Bachelor's degree in Facilities Management, Engineering, Construction Management, Business Administration, or related field preferred. Minimum 3-5 years of experience in facilities management, property management, or construction services. Experience managing multiple sites or portfolios is advantageous.
Technical Knowledge
Strong understanding of building systems including HVAC, electrical, plumbing, and fire/life safety systems. Familiarity with building automation systems and computerized maintenance management systems. Knowledge of building codes, safety regulations, and compliance requirements.

Working Conditions

Some evening or weekend work may be required to address urgent facility needs or support client requirements.
