The Facilities Administrator is responsible for overseeing and coordinating the day-to-day operations of company facilities. This role ensures that the workplace is safe, well-maintained, and fully functional, supporting business operations and employee productivity.

Key Responsibilities

  • Oversee the maintenance, repair, and operation of all building systems, including HVAC, electrical, plumbing, and safety systems.
  • Coordinate service providers, contractors, and vendors for facility-related tasks.
  • Maintain facility records, inventories, and maintenance logs.
  • Ensure compliance with health, safety, and environmental regulations.
  • Support space planning, office moves, and layout adjustments.
  • Monitor and manage facility-related budgets and expenditures.
  • Implement preventive maintenance schedules and track completion.
  • Respond promptly to facility issues or emergencies to minimize operational disruptions.
  • Assist in facility audits, inspections, and improvements.
  • Support sustainability initiatives and energy efficiency programs.

Qualifications

  • Bachelors degree in Facilities Management, Engineering, or related field preferred.
  • Proven experience in facility administration or management.
  • Strong knowledge of building systems, safety protocols, and maintenance procedures.
  • Excellent organizational, planning, and communication skills.
  • Ability to manage multiple tasks, priorities, and vendors simultaneously.
  • Proficiency in MS Office and facility management software is a plus.

Physical Requirements

  • Ability to perform on-site inspections and walkthroughs.
  • May require lifting or moving light equipment and walking around facility spaces.

Working Conditions

  • Primarily office-based with regular site visits to facilities.
  • May involve occasional after-hours or emergency coordination depending on operational needs.
