The Facilities Administrator is responsible for overseeing and coordinating the day-to-day operations of company facilities. This role ensures that the workplace is safe, well-maintained, and fully functional, supporting business operations and employee productivity.
Key Responsibilities
- Oversee the maintenance, repair, and operation of all building systems, including HVAC, electrical, plumbing, and safety systems.
- Coordinate service providers, contractors, and vendors for facility-related tasks.
- Maintain facility records, inventories, and maintenance logs.
- Ensure compliance with health, safety, and environmental regulations.
- Support space planning, office moves, and layout adjustments.
- Monitor and manage facility-related budgets and expenditures.
- Implement preventive maintenance schedules and track completion.
- Respond promptly to facility issues or emergencies to minimize operational disruptions.
- Assist in facility audits, inspections, and improvements.
- Support sustainability initiatives and energy efficiency programs.
Qualifications
- Bachelors degree in Facilities Management, Engineering, or related field preferred.
- Proven experience in facility administration or management.
- Strong knowledge of building systems, safety protocols, and maintenance procedures.
- Excellent organizational, planning, and communication skills.
- Ability to manage multiple tasks, priorities, and vendors simultaneously.
- Proficiency in MS Office and facility management software is a plus.
Physical Requirements
- Ability to perform on-site inspections and walkthroughs.
- May require lifting or moving light equipment and walking around facility spaces.
Working Conditions
- Primarily office-based with regular site visits to facilities.
- May involve occasional after-hours or emergency coordination depending on operational needs.
