Job Overview
Our client is seeking a proactive, operations-focused Project Manager to support a Melbourne-based branding agency. You will be the engine of our client's workflow, ensuring creative projects stay on track, tasks are meticulously assigned, and client communications remain professional and timely.
Schedule
- Monday - Friday, flexible during business hours (AEST), 20 hours per week
Responsibilities
- Project Infrastructure: Set up new projects using templates; manage timelines, task assignments, and Gantt charts to ensure clear roadmaps.
- Workflow Oversight: Own the daily schedule for all active projects. Ensure every task has an owner and a deadline, flagging delays or overdue items immediately.
- Client Coordination: Manage meeting schedules, send agendas/reminders, and handle templated communications to keep clients engaged and feedback flowing.
- Reporting & Risk Management: Prepare weekly status reports. Monitor for "scope creep" and ensure all deliverables are organized in Google Drive and Slack.
- Light Creative Support: Perform basic text/date updates in Figma templates for onboarding decks and presentations.
Key Requirements
- Industry Experience: Proven background in Project/Studio Coordination, specifically within creative, branding, or marketing agencies.
- System Savvy: High proficiency in project management software and Google Workspace.
- Communication: Professional English (written and verbal).
- Technical Comfort: Ability to perform basic edits in Figma.
- Organizational DNA: A natural obsession with deadlines, process integrity, and detail.
- Tools: Productive.io (or similar), Figma, Slack, Google Drive.
