The Finance Executive Assistant provides high-level administrative and operational support to executives. Responsibilities include managing calendars, meetings, correspondence, research, and coordination for both business and personal tasks assigned by the owner. The role requires strong analytical skills, sound judgment, discretion, and the ability to handle sensitive information. Fresh graduates and CPAs are encouraged to apply.

Core Administrative task

  • Manage schedules, meetings, and correspondence for executives.
  • Conduct research and gather information to support strategic planning and decision-making.
  • Perform basic data analysis, especially for new projects.
  • Handle ad hoc administrative duties, including:
  • File management
  • Travel arrangements
  • Meeting and event preparations
  • Maintain confidentiality of all financial and administrative information.
  • Assist the Director of Corporate Services and Operations with day-to-day assigned tasks.
  • Perform other tasks assigned by the immediate supervisor or management that have a direct business impact, whether within or beyond the current job scope.

Finance & Business Support

  • Assist in preparing financial reports, summaries, and documentation.
  • Coordinate billing, reimbursements, or expense tracking when assigned.
  • Support budgeting activities, including gathering data and organizing expense records.
  • Assist in preparing presentations and materials for financial meetings or business reviews.
  • Help monitor deadlines related to finance tasks, filings, or submissions.
  • Coordinate with accounting teams or external auditors as needed.

Marketing & Business Support

  • Market Research: Gather information on industry trends, competitors, and customer preferences to support decision-making.
  • Advertising Assistance: Draft ad copy, coordinate with agencies or vendors, and monitor performance.
  • Data Analysis: Analyze marketing metrics, create reports, identify trends, and make recommendations.
  • Market Communication: Act as a point of contact for marketing-related inquiries (internal and external).
