Key Responsibilities
Vendor Management
- Research, evaluate, and onboard vendors across Facilities, Admin, Events, and Travel-related services (e.g., agencies, contractors, suppliers, soft/hard service providers).
- Manage vendor onboarding, accreditation, and documentation.
- Act as the main point of contact for assigned vendors.
- Support contract negotiations and monitor commercial terms.
- Track vendor performance and ensure SLA compliance.
- Coordinate procurement requests and vendor delivery timelines.
- Resolve vendor issues and escalations in a timely manner.
- Identify cost-saving opportunities and process improvements.
- Maintain accurate vendor records and reporting.
- Monitor inventory levels for office supplies, pantry, and operational materials.
- Initiate replenishment based on usage and demand.
- Validate invoices against PO and completed delivery/service.
- Handle work/gate pass permit applications.
Scope of Coverage
- Facilities and office operations (fit-out, maintenance, supplies).
- Concessionaires (partnership with third-party vendors).
- Corporate events and external service providers.
- Travel and logistics vendors.
Requirements
- Minimum of 3 years' experience in procurement, preferably supporting Facilities, Admin, or operational functions.
- Uphold proper segregation of duties and ethical procurement practices.
- Strong vendor sourcing, negotiation, and stakeholder management skills.
- Experience handling multi-category procurement (services, contractors, supplies, events).
- Good commercial acumen with the ability to conduct cost analysis and vendor evaluation.
- Experience in procurement systems and vendor/contract management tools.
- Excellent organizational and time-management skills.
- Ability to manage multiple requests in a fast-paced environment.
- Proactive, solutions-driven, and able to work with minimal supervision.
