Accountant — HVAC and Home Services (Remote, Philippines)

Full-Time · 40 hours/week · Mountain Standard Time ·

Time zone: Must be available during Mountain Standard Time (MST) business hours

Compensation: 100,000 - 125000 pesos per month, commensurate with experience

We are hiring on behalf of a growing, US-based HVAC and home services company seeking a detail-oriented, experienced Accountant to own the day-to-day financial operations of the business. This is a hands-on, independent role that requires someone who can hit the ground running, work with minimal supervision, and bring genuine competency in service-based accounting.

The company operates a fast-paced field services environment using QuickBooks Online and ServiceTitan as its core platforms. You will work closely with the business owner and a fractional CFO, serving as the financial backbone of daily operations.

What you will be doing:

Daily responsibilities

  • Reconcile the day's financial activity each evening — reviewing debits, credits, expenditures, and technician timesheets
  • Provide the business owner with a morning summary of the prior day's billings and spend
  • Record and categorize financial transactions and maintain audit-ready documentation in QuickBooks Online
  • Attach receipts and supporting documents to maintain complete audit trails
  • Review technician timesheets and job completion data
  • Monitor job tracking and payables entry

Weekly responsibilities:

  • Follow up on accounts receivable, generate AR aging reports, and pursue unpaid invoices
  • Process vendor and subcontractor payables and manage payment schedules
  • Communicate with vendors to resolve billing issues
  • Prepare weekly income and expense summaries for the owner

Monthly and ongoing responsibilities:

  • Perform bank reconciliations and prepare monthly financial statements (Balance Sheet, Income Statement, Cash Flow)
  • Manage project accounting across all active jobs — tracking income and expenses by job
  • Process bi-weekly payroll for technicians and virtual staff
  • Create and send invoices based on job data (estimates vs. actuals)
  • Analyze budget performance and flag cost variances or discrepancies proactively
  • Coordinate with field teams to ensure accurate job costing inputs before invoicing
  • Support vendor onboarding, offboarding, and management
  • Assist with audits, compliance processes, and financial reporting preparation
  • Work within ServiceTitan to manage and continuously improve accounting workflows
  • Identify system or process gaps and propose improvements

What we are looking for

Required qualifications:

  • Degree in Accounting, Finance, or a related field
  • 3+ years of proven, hands-on experience with QuickBooks Online (QBO) — not just familiarity
  • 1+ year of Experience with ServiceTitan (strongly preferred)
  • 1+ year of Experience in trades or service-based accounting — HVAC, mechanical, electrical, plumbing, or similar industries
  • Strong understanding of job costing and service-based financial workflows
  • Experience managing full-cycle AR/AP, payroll processing, and financial reporting
  • Ability to make independent, competent decisions in day-to-day accounting responsibilities without waiting to be directed
  • Strong attention to detail and a high standard for accuracy
  • Excellent organizational and time management skills
  • Ability to proactively identify issues and communicate them clearly to ownership — not just flag that something exists, but come with context and, where possible, a proposed solution
  • Willingness to learn and help evolve the company's accounting systems over time

Nice-to-have qualifications

  • Experience managing seasonal cash flow in a trades or service business
  • Familiarity with contractor accounting best practices
  • Experience building or improving accounting systems and workflows from scratch

This role requires exclusive, full-time commitment. Candidates currently holding another full-time position will not be considered.

What success looks like:

The right person for this role does not wait to be told what to do. They reconcile the books each evening without being reminded, flag budget overruns before they become problems, and communicate financial status clearly and concisely to ownership. They understand that the goal is to give the business owner real-time, reliable visibility into financial performance — and they take ownership of making that happen every day.
