What You’ll Do As Administrative Assistant
Administrative
- Maintain and safeguard hard copy and electronic filing systems for company records, reports, legal documents, subscriptions, and service contracts.
- Monitor office supplies and recommend standard items for procurement.
- Serve as a focal point and liaison for regional offices and coordinate employees assigned to various projects and sites.
- Manage incoming and outgoing communications, including calls, correspondence, and document dispatch.
- Prepare, revise, and proofread documents to ensure accuracy and proper documentation.
Finance / Accounts Payable
- Prepare accounting documentation, including request for payment vouchers and official receipts for bank transfer payments.
- Process all company-related payables for suppliers and government entities and manage the timely release of vendor payments.
- Prepare withholding tax documentation, including CWT/BIR Form 2307.
- Support billing and collections by preparing invoices, coordinating deliveries, and following up with clients.
- Act as petty cash custodian and submit weekly petty cash reports.
You Are
- University Degree / Specialized Diploma
- 3 – 5 years’ experience in Administration, secretarial or commercial support role
- High attention to detail and strong documentation discipline
- Ability to work independently, follow through on tasks, and meet deadlines
- Proficiency in MS Excel and ERP/financial systems
- Strong interpersonal skills with the ability to coordinate across function
- English written & spoken proficiency
