Responsible for the efficient and smooth running of the Executive Board Member's office – keeping the agenda, balancing commitments and prioritizing (internal & external obligations) aiding him/her to respect deadlines. A proactive mindset and ability to evaluate and prioritize, flexibility and amenability with all stakeholders
Focused on supporting an individual executive or small number of executives in their day-to-day office activities
Key Deliverables:
Administration - First contact point for all stakeholders (internal & external)
Travel & Events Management
Finance & Procurement - Consolidate departmental/unit budget planning process act as liaison with the controller and ensure the procurement process and payment terms in line with the Corporate guidelines are respected
Obtaining and organizing information for use in conferences, speeches, and reports as requested by the executive
Editing, proofing, formatting, document design/production, form filling, and data entry
Scheduling/coordinating meetings, diaries, and travel arrangements
Coordinate and manage the agenda, prioritise, organise and prepare meetings incl. the appropriate documents & prepare induction programs
Identify, anticipate, prioritise incoming mail and prepare information required to ensure timely follow-up
