Job Overview

As an Executive Recruitment & Admin Coordinator, you will provide high-level administrative support for a growing insurance brokerage while helping manage client communication, recruitment coordination, policy follow-ups, and social media activities. This role requires a highly organized and detail-oriented professional who can confidently handle multiple responsibilities in a fast-paced remote environment. You will act as a liaison between the agency, insurance carriers, clients, and prospective agents while ensuring records, communications, and operational processes remain accurate and efficient.


Schedule:

  • Monday to Friday, 9am - 6pm CST, with 1 hr unpaid break (40 hours per week)


Responsibilities:

  • Manage client follow-ups by checking policy statuses with insurance carriers and resolving pending issues
  • Handle client communications including outreach to no-shows and rescheduling appointments
  • Maintain and update client data and commission tracking records in Google Sheets
  • Create and publish daily social media posts to support brand visibility and agent recruitment efforts
  • Screen and contact insurance agent applicants, schedule interviews, and coordinate the recruitment pipeline
  • Provide general administrative support to ensure smooth day-to-day agency operations


Requirements:

  • Minimum 2–3 years of experience as an executive assistant
  • Experience with social media content scheduling and basic recruitment coordination
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously
