Role Overview

We are looking for a disciplined and proactive Accounts Receivable & Collections Executive to support our Singapore operations.

主要職責：

• 協助部門主管全面負責馬來西亞的行政和人力資源職能。
• 與部門主管密切合作，透過各種行政和人力資源舉措，確保組織成功並實現部門目標。
• 負責維護和保養接待區、會議室、訓練室、討論室、演示室和一樓，確保其乾淨整潔。
• 建立並維護行政文件歸檔系統。
• 執行直屬上司/管理階層指派的其他臨時性任務。

為支援行政職能：

• 負責辦理 DIGI 線路續約、影印機、道路稅、puspakom 車輛檢驗、公司車輛保險、公司一般保險、myKPP、滅火器、營業執照、公司房產租賃協議等事宜。
• 負責安排和監督害蟲防治、辦公室維護和保養（如有需要），例如照明、飲水機、空調、辦公家具和配件、傳真機、影印機、印表機、電話、電氣工程等。
• 如有需要，安排內部/外部技術人員進行辦公室維護工作。
• 以專業的態度歡迎並接待所有訪客、供應商、客戶、候選人，並通知相關人員。
• 接聽來電並將電話轉接給相關人員。
• 在相關人員不在辦公室的情況下記錄留言；隨後通知相關人員來電及其目的。
• 負責所有快遞服務、收件、郵寄、公司內部郵件分發和傳真轉發。
• 負責總部、各分公司以及新加坡（如有需要）所有文具/印刷材料/名片的採購。
• 核實公司所有月度 DIGI 帳單。
• 負責公司一般保險、團體保險及員工社保（SOCSO）的理賠事宜。
• 負責保全人員的記錄簿、庫存、值班考勤等。
• 執行公司車輛的傳喚。
• 如有需要，協助預訂飯店和機票。

支持人力資源職能：

• 管理和更新所有員工/分公司的電子請假系統、考勤和醫療報銷系統；
• 安排合格員工每年進行體檢；
• 如有需要，請更新員工個人資料。
• 協助人力資源運作－請參閱員工招募－留任－離職清單。
• 記錄清潔工出勤情況並提交給 Judy 女士（財務部）以便支付工資。
• 協助人力資源部準備年度考勤紀錄（零病假、零請假、全勤紀錄）
• 各部門每月考勤統計
• 監控員工在系統中累積的休假時間（請參閱員工手冊）
• 新進員工指紋登記冊
• 向新進員工發放 Mediviron 診所醫療卡，並更新員工合作診所名單。

• Minimum 1 year experience is required for this position.

About the role

Solstruct Engineers Sdn. Bhd. is seeking a dedicated and organised Admin Executive to join our team in Petaling Jaya, Selangor. This full-time role will be responsible for providing comprehensive administrative support to ensure the smooth running of our office operations.

What you'll be doing

• Managing and maintaining office systems, procedures and policies
• Providing administrative support to the management team as needed
• Handling general office duties such as filing, photocopying and data entry
• Assisting with the coordination of meetings, events and travel arrangements
• Maintaining and updating employee records including attendance and leave records
• Ordering office supplies, managing the office pantry, and overseeing other inventories
• Tracking office expenses including review of employee claims, invoices, etc.

What we're looking for

• Minimum 2 years' experience in an administrative or office support role
• Strong organisational and time management skills with the ability to prioritise tasks
• Excellent communication and interpersonal skills
• Proficient in Microsoft Office suite (Word, Excel, Outlook)
