Job Title: Sales Admin Executive
Key Responsibilities
Sales & Documentation Coordination
Liaise with dealers and sales teams to manage and process second-hand vehicle documentation.
Ensure all required documents are complete, accurate, and submitted in a timely manner.
Coordinate closely with internal and external stakeholders to facilitate smooth transaction workflows.
Asset Handover Management
Oversee the physical handover of vehicles and keys to customers or stakeholders.
Ensure all handovers are properly documented, verified, and tracked.
Maintain accountability and traceability for all vehicle transfers.
Record Keeping & Database Management
Maintain and update the internal vehicle database and tracking systems.
Ensure 100% data accuracy, integrity, and traceability across all records.
Regularly audit records to identify and correct discrepancies.
Inventory & Financial Administration
Conduct regular stock takes of aftermarket products such as car accessories, films, mats, and electronic items.
Monitor inventory levels and report discrepancies or replenishment needs.
Support basic financial administrative functions related to inventory tracking.
Commission Calculation
Accurately calculate sales commissions based on predefined structures.
Verify sales data and ensure timely and error-free commission processing.
Collaborate with finance and sales teams to resolve discrepancies.
Data Analysis & Reporting
Track and compile daily, weekly, and monthly sales and financial performance reports.
Analyze key metrics to provide insights into sales trends and business profitability.
Support management with data-driven recommendations and reporting.
