This role will support the organisation’s day-to-day administrative and front-facing operations, including handling visitor enquiries, managing registrations for events and activities, and assisting senior members with operational and secretarial support.

The ideal candidate is compassionate, disciplined, respectful, and comfortable working within a structured and values-driven environment. This role requires strong communication skills, attention to detail, and the ability to interact professionally with both visitors and senior members of the organisation.

Key Responsibilities

  • Greet and assist community members and visitors on-site
  • Handle registrations for events, talks, and activities using Google Forms and spreadsheets
  • Manage and respond to general enquiries via email and the organisation’s main phone line
  • Provide standard responses for common enquiries and escalate more complex matters when necessary
  • Support administrative and secretarial tasks including filing, document preparation, and coordination
  • Maintain accurate records and data entry for events and activities
  • Assist with day-to-day operational and coordination tasks as directed by senior members
  • Support the organisation in maintaining a professional and welcoming environment

Must-Haves

  • Bilingual in English and Mandarin (spoken and written)
  • Strong communication and interpersonal skills
  • Compassionate, respectful, and service-oriented personality
  • Comfortable working in a religious and community-focused environment
  • Able to follow direction from multiple senior members
  • Disciplined, organised, and detail-oriented
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Comfortable using Google Forms, spreadsheets, email, and basic digital tools
  • Available to work on-site Tuesday to Sunday (Monday off)

Great-to-Have

  • Previous experience in a non-profit, religious, or community-based organisation
  • Familiarity with Chinese culture or Taoist practices
  • Experience in customer service, reception, or public-facing roles
  • Background working in structured or hierarchical environments

KPIs for Success

  • Accurate and timely registration and data entry for events and activities
  • Professional and prompt handling of visitor and community enquiries
  • Reliable daily operational and administrative support
  • Positive feedback from visitors and senior members
  • Ability to work independently with minimal supervision over time
