Reporting to Manager, Workplace Management, you will be responsible for:

Workplace Operations & Administration

  • overseeing corporate services, including fleet management, employee shuttle services and office supplies;
  • reviewing administrative workflows and update Standard Operating Procedures (SOPs) for compliance;
  • generating monthly reports on financial performance, contract status and other workplace metrics;
  • providing other workplace support, including meeting arrangements, minutes, presentations and workplace event coordination; and
  • tracking sustainability data, including energy consumption, recycling metrics, and green initiatives.

Financial & Budgetary Control

  • assisting in preparing annual budgets for business/corporate plans (BPCP), operating expenses (OPEX) and capital expenses (CAPEX) of the Workplace Management Team;
  • monitoring and tracking financial performance against approved OPEX and CAPEX targets;
  • partnering with Finance and Workplace Operations to oversee spending and process payments; and
  • supervising a small team handling daily accounting, PO creation, invoice processing and petty cash.

Procurement & Contract Management

  • driving procurement processes, , including preparing of relevant documentation for purchase requisition (PR), tendering, request for quotation/proposal (RFQ/RFP);
  • managing vendor contracts, updating procurement schedules and evaluating contractor’s performance;
  • maintaining accurate expenditure records, contract master lists and payment document filing; and
  • performing any other duties from time to time as reasonably assigned by the Authority.

You Should

  • possess a recognised university degree in Property Management/ Facility Management/ Business Administration or equivalent;
  • have minimum of 8 years of solid experience in general office administration, preferably experience in property or facility services gained in a sizable organisation or the public sector;
  • be well organised with meticulous attention to detail and multitask, and able work independently under pressure;
  • possess excellent client-facing, interpersonal and communication skills, with the ability to effectively interact with people at all levels of the organisation;
  • be proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Word Processing. Experience in Microsoft 365 and ERP system (preferably Oracle) would be an advantage; and
  • be proficient in written and spoken English and Chinese.
