Vendor & Contract Support

  • Assist in onboarding new vendors and coordinating contract renewals under supervision.
  • Maintain up-to-date vendor contact lists, schedules, and performance records.

Workplace Experience

  • Oversee office supply inventory and coordinate timely replenishment.
  • Support special events, meetings, or office moves with logistical coordination (e.g., setup, catering, signage).
  • Promote sustainability initiatives (e.g., recycling programs, reducing single-use items).
  • New office/building set up and readiness

Compliance & Reporting

  • Ensure vendors comply with local regulations (e.g., hygiene, labor laws, safety protocols).
  • Prepare weekly or monthly reports on service performance, incidents, and spend tracking.

Qualifications

  • High school diploma required; associate’s degree or relevant coursework in facilities management, hospitality, or business administration preferred.
  • 1–3 years of experience in facilities coordination, office management, or vendor coordination—preferably with a focus on soft services.
  • Strong interpersonal and communication skills; comfortable interacting with vendors, staff, and leadership.
  • Proficiency in Microsoft Office (Excel, Outlook) and experience with ticketing systems or CMMS (e.g., ServiceNow, FM:Systems).
  • Highly organized, reliable, and able to work independently with minimal supervision.
  • Availability during core business hours (e.g., Monday–Friday, 9 AM–3 PM or as needed).

Preferred Qualifications

  • Experience in corporate office, tech, or professional services environments.
  • Familiarity with ESG or workplace sustainability practices.
  • Bilingual abilities (if relevant to your location/workforce).
