Our brand, Lennor Metier Consulting, a DOLE-licensed headhunting and recruitment agency in the Philippines, is proud to partner with a leading global logistics and freight forwarding company in their search for a Operations Executive - Ocean Freight based in Parañaque City.

Salary Range: ₱30,000 - ₱40,000

Work Setup: Onsite

Shift Schedule: Day Shift

Location: Parañaque City

The role

The Operations Executive – Ocean Freight will support the day-to-day execution of ocean freight import and export operations, ensuring shipments are handled efficiently, accurately, and in compliance with company policies and regulatory requirements.

Your Responsibilities

  • Ocean Freight Operations Management
  • Manage ocean freight import and export shipments from booking through final delivery.
  • Coordinate shipment schedules and transportation arrangements with shipping lines, co-loaders, and service providers.
  • Ensure accurate and timely preparation, processing, and submission of shipping documents.
  • Monitor shipment progress and proactively address operational issues to minimize delays.
  • Escalate operational concerns and exceptions to the Ocean Freight Supervisor as needed.
  • Customer Service & Stakeholder Coordination
  • Build and maintain strong relationships with customers to understand and meet their logistics requirements.
  • Provide regular shipment status updates and reports in accordance with customer requirements.
  • Respond promptly to customer inquiries and resolve operational concerns in a professional manner.
  • Coordinate closely with internal departments to ensure seamless shipment execution and customer satisfaction.
  • Documentation, Billing & Administration
  • Prepare and process invoices, billing documents, and related operational paperwork accurately and on time.
  • Ensure all shipment records, files, and documentation are complete and properly maintained.
  • Support reporting requirements and maintain operational data integrity.
  • Assist with administrative and operational tasks as assigned.
  • Customs & Regulatory Compliance
  • Ensure compliance with import and export procedures, customs regulations, and documentation requirements.
  • Support customs clearance activities and coordinate with relevant stakeholders when necessary.
  • Maintain awareness of local freight forwarding regulations and industry requirements.
  • Ensure adherence to company policies, procedures, and quality standards.
  • Compliance & Risk Management
  • Ensure full compliance with the company's Code of Ethics, Delegation of Authority, and internal audit requirements.
  • Adhere to export controls, sanctions regulations, anti-corruption policies, and data protection standards.
  • Ensure compliance with Philippine Bureau of Customs (BOC) regulations and documentation requirements.
  • Identify and escalate potential operational risks and compliance issues.

What We're Looking For

Education & Professional Qualifications

  • Bachelor's Degree from a recognized university, preferably in Logistics, Supply Chain Management, Business Administration, or a related field.

Experience

  • Minimum of 3 years of experience in ocean freight or sea freight operations within the freight forwarding or logistics industry.
  • Strong understanding of import and export processes, customs requirements, and freight documentation.
  • Experience coordinating with shipping lines, co-loaders, and logistics service providers.
  • Familiarity with CargoWise is highly preferred.

Skills & Competencies

  • Strong customer service and relationship management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Detail-oriented with strong organizational and coordination skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and ability to respond effectively to urgent operational requirements.
  • Willingness to work beyond regular office hours when necessary.
  • Team-oriented with a proactive and positive attitude.

Preferred System Knowledge

  • CargoWise experience preferred.
  • CCLP (Certified Logistics Provider by WiseTech) certification is an advantage.

Language Requirements

  • Proficient in English, both written and spoken.
