We're looking for an experienced ABA Insurance Operations Specialist who can take full ownership of ABA insurance workflows with minimal supervision. This is not an entry-level role—we need someone who already understands ABA authorizations, billing, claims, denials, and payer communications from start to finish.
What You'll Own:
ABA Authorizations & Reauthorizations
- Submit and manage ABA authorizations and reauthorizations
- Review treatment plans, assessments, diagnostic reports, and BCBA documentation
- Follow up with insurance payers on pending requests
- Resolve denials and requests for additional information
- Track authorization expirations and renewals
- Maintain accurate authorization records
ABA Billing & Claims Management
- Submit and manage ABA claims from submission through resolution
- Follow up on unpaid, denied, rejected, underpaid, and aging claims
- Process corrected claims, appeals, and resubmissions
- Handle both in-network and out-of-network ABA claims
- Navigate payer portals and clearinghouse systems
- Document claim activity and payer communications
Benefits Verification & Insurance Operations
- Verify insurance benefits accurately
- Support insurance-related intake processes
- Communicate directly with insurance representatives
- Resolve insurance issues and accelerate approvals
- Track authorization statuses and compliance requirements
- Partner with intake, billing, and clinical teams
Process Improvement & Ownership
- Maintain organized workflows and tracking systems
- Identify bottlenecks and improve processes
- Create and maintain SOPs
- Escalate issues appropriately
- Independently manage deadlines and priorities
Required Experience
You must have direct ABA insurance operations experience, including:
- ABA authorizations and reauthorizations
- Benefits verification (VOBs)
- Claims submission and follow-up
- Denial management
- Appeals and resubmissions
- Payer communications
- Authorization tracking and renewals
- Out-of-network ABA billing workflows
General medical billing experience alone is not sufficient.
ABA Industry Knowledge
Strong understanding of:
- ABA operations and workflows
- BCBAs and RBTs
- Treatment plans and assessments
- Supervision structures
- Authorization cycles
- Scheduling impacts on billing and authorizations
ABA CPT Code Experience
Experience working with:
Preferred Systems Experience
- CentralReach
- Rethink
- Insurance payer portals
- Clearinghouses and insurance management systems
Preferred Qualifications:
- Experience with ABA payers in Indiana and New Jersey
- Multi-state ABA operations experience
- Out-of-network ABA billing expertise
- SOP creation and process improvement experience
