Role: Operations / Back Office Admin Assistant

Working Hours: 40 hours per week (Mon - Fri) Flexible UK hours (with 5 hour overlap)

Salary Range: $1000 - $1300 USD per month (The final offer is at the client’s discretion and depends on the candidate’s interview result, skills, and experience.)

Key Responsibilities

  • Take over admin workflows, and form submissions
  • Synthesizing and problem-solving to fill in gaps in the company's CRM, by going through files and documents to compile missing information.
  • Adapt to evolving tasks as the company automates certain processes
  • Contribute ideas to improve processes or automate repetitive work
  • Remove low-level admin burden from senior team members
  • Stabilize operations while the company continues to scale and hires senior UK-based talent separately
  • Ad-hoc duties

Qualifications

  • 2-3 years experience in a relevant administrative / operation role
  • Familiarity with Google Workspace tools like Google Chat
  • Proficient in HubSpot (familiar with workflows or reporting a plus)
  • Experience with the Google Suite
  • Able to synthesize information, problem-solve, and fill in gaps in data / documentation
  • Demonstrate total reliability by meeting every deadline and taking full ownership of your work.
  • Willingness to learn, adapt to change, and take initiative to improve processes
  • Maintain sharp attention to detail to ensure all tasks are accurate and error-free.
  • Communicate with clarity and professionalism, making complex information easy for others to understand.
  • Solve problems independently by using your "figure-it-out" factor to find solutions without constant direction.
  • Exhibit a growth mindset by mastering core tasks quickly and taking on more advanced responsibilities over time.

Preferred

  • Familiarity with home services, construction, or similar technical industries
  • Experience using tools like Loom to document processes and share information
