The business operates in a fast-paced, deadline-driven environment where accuracy and consistency are non-negotiable. Standards are high, workflows are structured, and performance is measured by execution and reliability.
This is a mid-level, execution-focused role supporting the owner directly. The position is not entry-level and requires prior transaction coordination or similar operational experience.
This role fills a critical operational gap—removing the owner from file processing, email management, and day-to-day execution. The expectation is to take ownership of transaction workflows and stabilize operations.

Process new contracts: review, extract data, and enter into systems accurately
Execute task templates per file using Open to Close
Manage transaction emails: monitor inbox, respond, and track updates
Maintain and update transaction timelines and deadlines in CTM
Send contracts, disclosures, and addenda for signatures
Track file progress and ensure all required steps are completed
Perform compliance-related tasks, including document uploads and file checks (scope evolving)
Schedule settlement statements and closing-related communications
Update CRM with co-op agent information (as needed)
Identify gaps or inconsistencies in files and take corrective action
Prior experience in transaction coordination, real estate operations, or similar role
Strong familiarity with contract review, data entry, and file management
Ability to manage multiple transactions simultaneously without loss of accuracy
High attention to detail; errors are not acceptable in contract or compliance work
Strong critical thinking; does not rely solely on instructions or templates
Ability to work independently after training while knowing when to escalate issues
Clear, professional written communication; maintains a consistent, upbeat client-facing tone
Comfortable working in structured systems and following defined workflows
Accountable for output, timelines, and task completion
Does not require constant oversight or follow-up to perform responsibilities
