Key Responsibilities — Sales

Responsibilities / Activities

Quality, Testing & Laboratory Systems

• Responsible for maintaining a full understanding and complying with Colgate Quality Micro Standard governing the laboratory system.

• Participate in internal audits and external audits (contract manufacturers & labs, suppliers, etc.).
• Support Internal/External Audits and ensure all non-conformances are adhered to in a timely manner.
• Interface with Global & Divisional Quality/Microbiology teams to provide input on programs, procedures and methods, and receive guidance & support on implementation of programs.
• Initiate change control documentation in the respective area prior to the execution of the changes that affect the quality of the products.
• Ensure lab documentation and records are managed, controlled, maintained and updated on a regular basis and in compliance with data integrity.

Team Leadership, Training & Cross-Functional Collaboration

• Maintain laboratory staff by recruiting, selecting, orienting, developing and training to ensure consistent performance with right skill and competency.
• Develop and implement microbiology training for plant floor management and operators.
• Provide Micro Awareness training to Operator & MicroLab Analysts.
• Maintain the inventory of media, chemicals/reagents & other accessories required for the microbiological analysis. Monitor and control the NVO/lab spending wisely.
• Participate actively in Site C&S Team.
• Participate as plant Water Team member.

Requirements

• Possess bachelor degree or diploma in microbiology or related biological science.
• Minimum 2 years working experience in Microbiology Laboratory or Manufacturing plant QC Laboratory.
• Familiar with ISO/IEC 17025 requirements.

Key Responsibilities

• Manage the full cycle of Accounts Payable (AP) functions, including: o Invoice processing, verification, and 3-way matching o Vendor statement reconciliation
• Ensure timely and accurate recording of supplier invoices in the accounting system. • Liaise with vendors regarding billing discrepancies and payment-related matters.
• Assist in month-end closing activities related to Accounts Payable. • Maintain proper documentation and filing systems for audit and compliance purposes.

Requirements

• Diploma or Bachelor's Degree in Accounting, Finance, or a related field.
• Minimum 2–3 years of working experience in Accounts Payable or a similar accounting role.

• Familiarity with ERP systems and Microsoft Office applications, particularly Excel.
• Basic knowledge of SST, E-Invoicing, and statutory compliance requirements is an advantage.

What You Will Do (Roles & Responsibilities):

Inventory & Engineering Store Command

• Own the Spare Parts Lifecycle: Manage the end-to-end spare parts inventory, including the creation and inventorization of new parts and the seamless replenishment of existing stock.
• Keep the Lines Running: Step in as the hero to assist with engineering store operations (spare part dispensing, system posting, and new part creation) during the storekeeper's absence.
• Stock Integrity: Actively assist in engineering stock counts to ensure 100% inventory accuracy.

Strategic Procurement & Vendor Management

• Drive the Purchasing Process: Issue and manage Purchase Orders (both blanket and non-blanket) for day-to-day engineering operations, keeping our Ariba tracking files perfectly updated.
• Vendor Sourcing & Negotiation: Source Request for Quotations (RFQs) and negotiate with both existing and new vendors to get the best value.
• Global Logistics: Arrange carriers and transporters for overseas spare part deliveries, tracking them from the supplier’s door to our receiving bay.
• Financial Accuracy: Execute accurate Goods Receipt (GR) processes and relentlessly track PO approvals, sending friendly reminders to approvers to prevent bottlenecks.

Compliance & Sustainability Support

• Environmental Operations: Play a key role in our sustainability efforts by conducting daily updates on our Wastewater Treatment Plant (WWTP) operations and managing the replenishment of WWTP and DI chemicals.
• Regulatory Reporting: Ensure we meet government standards by submitting accurate, weekly Department of Environment (DOE) reports via the MDMR system.

Cross-Functional Collaboration

• Partner directly with Project Engineers to facilitate seamless PO issuance and project support.
• Assist our Facility Engineer with CEB (Central Electricity Board) management, handling corresponding POs and GR processes.
• Assist in finance related activities as and when required, deemed appropriate and required by the Financial Controller or Business Partner.

Who We Are Looking For (Requirements):

• Experience: 2 to 3 years of hands-on experience as an engineering/spare parts administrator or supply chain admin within the manufacturing industry. (FMCG/Consumer Goods manufacturing experience will give you a major advantage!)
• Education: At least a Diploma in Manufacturing, Supply Chain, Logistics, Business Administration, International Business, or any other related studies. SPM certificate holders with at least 5 years’ relevant working experience similar to that of the job description above will be considered as well.
• Communication: Excellent proficiency in both written and spoken English and Bahasa Malaysia to communicate effectively with vendors and internal teams.

In this role, you will be responsible for maintaining our engineering store, ensuring the seamless receipt, issuance, and replenishment of vital spare parts to- support our production and project engineering departments.

What You Will Do (Roles & Responsibilities):

Inventory Management & SAP Administration

• System Accuracy: Update and maintain the mechanical store inventory via the SAP computerized system, including accurately keying in Goods Receipts (GR) and transaction postings.
• Stock Control: Conduct regular inventory control and physical stock counts/checking to ensure system alignment.
• Lifecycle Management: Proactively identify slow-moving, expired shelf-life, and obsolete parts to initiate the scrapping process.

Daily Store Operations & Material Handling

• Receiving & Issuing: Manage the physical receiving and issuing of parts requested by users across the production and project departments, including handling necessary requisition forms.
• Organization & Housekeeping: Store parts accurately in their respective bin locations and maintain strict cleanliness, functionality, and safety standards within the store.
• Heavy Handling: Provide hands-on assistance to unload new equipment and heavy engineering parts.

Technical Identification & Quality Control

• Part Verification: Identify and clarify the correctness of parts upon delivery. Learn and familiarize yourself with new parts across various disciplines (mechanical, electrical, electronics, and instrumentation).
• Problem Solving: Identify and provide equivalent alternative parts to users when necessary.
• Returns Management: Process materials returned to suppliers, including issuing the correct forms and coordinating the physical return of non-conforming parts.

Cross-Functional Coordination & Communication

• Purchasing Liaison: Work closely with purchasers to inform them of delivered parts, follow up on outstanding deliveries, and clarify part conformance to specifications.
• Stakeholder Engagement: Act as the central point of contact for internal teams (Store Executive, Maintenance Supervisors, Engineering Staff, Production Staff, and the Plant Services Manager) and external partners (Engineering parts vendors and Contractors).
• Administrative Support: Submit necessary documentation to respective personnel and perform ad-hoc tasks as required to support the engineering department.

Who We Are Looking For (Requirements):

• Education: Minimum SPM / SPVM / SC / MCE qualification. A Certificate in Storekeeping is highly preferred.
• Experience: At least 2 years of relevant experience in engineering storekeeping.
• Technical Knowledge: Must possess strong technical knowledge of engineering components (mechanical, electrical, and instrumentation) to accurately identify and manage spare parts.
• Systems: Familiarity with SAP or similar computerized inventory management systems is required.
