Job Overview

We are seeking a highly organized Executive Assistant to support three business partners across consulting, website projects, and client delivery. In this remote role, you will act as the vital operational link between clients and the leadership team, ensuring projects stay on track and deadlines are met. We need a proactive self-starter who excels at balancing multiple priorities, managing executive calendars, and driving project follow-through. This position is ideal for a natural organizer who is confident communicating with senior stakeholders in a fast-paced environment.


Job Highlights

Schedule: Mon-Fri, 9 am - 1 pm UK time (20 hours per week)

Work Arrangement: Work from home

Contract: Independent Contractor


Responsibilities

  • Coordinate multiple client projects and priorities
  • Schedule meetings, workshops, and project milestones
  • Liaise directly with clients via email, phone, and video calls
  • Follow up on outstanding actions, documents, approvals, and deliverables
  • Track project progress and ensure deadlines are met
  • Manage calendars, meeting notes, and action items
  • Maintain CRM and project records
  • Support invoicing, payment follow-ups, and general administration
  • Assist leadership with operational and executive support tasks


Requirements

  • Experience as a Project Coordinator, Executive Assistant, Operations Coordinator, or similar role
  • Candidate must be based in or near the client's timezone for work alignment
  • Excellent English communication skills
  • Strong organisational and stakeholder management skills
  • Comfortable supporting multiple executives and clients
  • Proactive, detail-oriented, and highly accountable
  • Experience with Google Workspace (Gmail, Calendar, Drive)
  • HubSpot experience is advantageous but not essential
  • Comfortable using AI tools such as ChatGPT, Claude, or Gemini
