Role Overview

The Executive Assistant to the CEO provides high-level administrative and strategic support, acting as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO. The ideal candidate is a proactive problem-solver with exceptional organization, discretion, and the ability to manage complex priorities in a fast-paced environment.

Key Responsibilities

  • Executive Calendar & Schedule Management:
  • Manage and optimize an extremely active calendar of appointments and serve as the primary "gatekeeper" to the CEO's time.
  • Coordinate complex travel arrangements, itineraries, and agendas for business trips.
  • Ensure the CEO is fully prepared for all meetings with the necessary documents, briefings, and research.
  • Communication & Liaison:
  • Screen and manage incoming calls, emails, and correspondence, responding on behalf of the CEO when appropriate.
  • Draft and edit high-level professional correspondence, reports, and internal/external communications.
  • Act as a bridge between the Office of the CEO and the senior leadership team, ensuring smooth communication and follow-through on key directives.
  • Meeting Coordination & Documentation:
  • Organize and attend board meetings, executive sessions, and leadership summits, ensuring accurate minutes and tracking of action items.
  • Create and polish high-impact presentation decks for stakeholders and board-level discussions.
  • Handle highly confidential and sensitive information with absolute discretion and integrity.
  • Special Projects & Office Management:
  • Lead and manage special projects as assigned by the CEO, ranging from corporate events to research initiatives.
  • Ensure the seamless operation of the CEO's office, including expense management and personal administrative tasks as needed.
  • Prioritize and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.

Qualifications

  • Experience: At least 510 years of experience supporting C-level executives (CEO, President, or Chairman).
  • Skills: Exceptional command of English (written and verbal) and mastery of MS Office (Word, Excel, PowerPoint).
  • Communication: Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Work Style: Highly organized, detail-oriented, and able to work independently under pressure.
