Role Requirements:
- 2+ years of virtual assistant experience
- 2+ years working with clients from the United States, UK, Canada, or Australia
- Must speak and write fluent English and Spanish (bilingual required)
- Must have a reliable backup internet connection
- Experience with CRM and scheduling tools — Go High Level and/or EHR systems are a strong plus
- Background in healthcare admin, or sales is highly preferred
Responsibilities:
- Answer inbound calls from new and existing patients; provide program information and schedule appointments
- Pre-qualify and follow up with leads coming in through paid advertising campaigns
- Register new patients in the EHR and ensure intake forms are completed prior to appointments
- Monitor and respond to the practice info email in a timely manner
- Manage CRM back-end including drip campaigns, clarity assessment funnel, and monthly newsletters
- Send appointment confirmations and follow-up messages
- Tag members in the Facebook referral group when relevant services are needed
- Track call KPIs and send end-of-day summary reports
- Support the clinic manager with additional administrative tasks as needed
